ORDERING PERSONNEL CARDS/INVITATION CARDS/PARKING LICENCES
1. What do I need a personnel card for and how many can I order?
Personnel cards are required for personnel who will be working at the stand during the event. The card is personal and must be completed with name, stand number and company name. The card must be shown upon request.
The number of personnel cards you are able to order depends on the size of the stand. For more information, please see the exhibitor portal. A link to the exhibitor portal will be sent by e-mail to your contact person/event coordinator approx. 3 months before the start of the event, or when the order confirmation is signed and returned to Bella Center.
2. What is an invitation card and what is it used for?
Invitations cards are designed to be sent to guests (customers, business associates, etc.) you want to invite to the event and have meet you at your stand. You can order invitation cards through the exhibitor portal and they will be sent to your company address. A link to the exhibitor portal will be sent by e-mail to your contact person/event coordinator approx. 3 months before the start of the event, or when the order confirmation is signed and returned to Bella Center.
3. What is the price of an invitation card and how are they billed?
The price of invitation cards varies from event to event. They will be billed after the event and you will only be charged for the cards that are used. Prices can be found on the exhibitor portal. A link to the exhibitor portal will be sent by e-mail to your contact person/event coordinator approx. 3 months before the start of the event, or when the order confirmation is signed and returned to Bella Center.
4. How do I order parking licences and how many can I order?
The number of parking licences for Bella Center’s internal parking area varies from event to event and depends on the size of the event and how many other events are taking place at Bella Center at the same time. The parking licences are issued by Bella Center are ONLY valid for our internal parking area. For more information, please see the exhibitor portal. A link to the exhibitor portal will be sent by e-mail to your contact person/event coordinator approx. 3 months before the start of the event, or when the order confirmation is signed and returned to Bella Center.
5. External parking spaces
The parking areas P1 to P7 are primarily intended for visitors. They cost of a parking space in these areas is DKK 20 per hour, with a maximum daily cost of DKK 80. You can purchase your parking tickets at the machines in the parking area. The tickets must be placed so they are visible through the windshield of your vehicle.
MISCELLANEOUS EVENT INFORMATION
1. As an exhibitor, where can I eat during the event?
The cafes and restaurants that are open can vary from event to event. For the large events, our exhibitor restaurant Bel Club in the Center Hall is open. You may also be able to order meal tickets prior to the event, which facilitates meals for your employees.
Exhibitors may also use the other cafes and restaurants. For more information, please see the exhibitor portal. A link to the exhibitor portal will be sent by e-mail to your contact person/event coordinator approx. 3 months before the start of the event, or when the order confirmation is signed and returned to Bella Center.
2. Where can I fill our thermos?
The location of coffee filling facilities will vary from event to event. However, at most events they will be located in Bel Club in the Center Hall. You can find more information about this in the welcome letter you will receive on the first day of the event.
CATALOGUE
1. How do I log on to the online catalogue?
Your contact person/event coordinator has received a link by e-mail with login and password information for the catalogue site from our catalogue department, Horisont. If you are unable to locate this link, you can contact the catalogue department by e-mail at katalog@bellacenter.dk.
2. How do I change/add our company name in the online catalogue?
You can change your company name, address, etc. via the link sent to your contact person/event coordinator by our catalogue department. If you are unable to locate this link, you can contact the catalogue department by e-mail at katalog@bellacenter.dk.
TECHNICAL BOOKINGS
1. Who do I contact for assistance with booking technical supplies and layout of the stand?
Your contact person in our Technical Exhibitor Service varies from event to event. You can find your contact person in the technical stand information on the exhibitor portal. A link to the exhibitor portal will be sent by e-mail to your contact person/event coordinator approx. 3 months before the start of the event, or when the order confirmation is signed and returned to Bella Center.
2. What is the deadline for technical bookings for the stand?
The deadline for technical bookings can be found on the exhibitor portal. A link to the exhibitor portal will be sent by e-mail to your contact person/event coordinator approx. 3 months before the start of the event, or when the order confirmation is signed and returned to Bella Center.
SETTING UP/TAKING DOWN STANDS
1. When can we start building our stand?
The dates for building your stand can be found on the exhibitor portal. The number of days available for stand building vary from event to event. A link to the exhibitor portal will be sent by e-mail to your contact person/event coordinator approx. 3 months before the start of the event, or when the order confirmation is signed and returned to Bella Center.
2. When can we start packing up our stand?
The time for packing up your stand will be available on the exhibitor portal and varies from event to event.
OTHER PRACTICAL QUESTIONS
1. Where can I park?
There are several large car parks around Bella Center. Parking options will be described in more detail in the exhibitor material which you will be receive prior to the trade fair.
2. Do I need to show ID to access my stand?
Information on this can be found where you made the agreement on your stand rental. For Bella Center’s own trade fairs and exhibitions, this information will be available on the exhibitor portal.
3. Where do I obtain information about my stand exhibitor area re access, build-up and packing down?
You can read about build-up and packing down times in the technical stand information which can be found on the exhibitor portal.
4. Can I get help for stand build-up and packing down?
As an exhibitor at Bella Center, you will be offered access to our webshop where you can order complete stands as well as a wide range of equipment.
5. What do I do if I need more services, or if, when I arrive, I find that something is missing on my stand?
Please check that you have received an order confirmation from Bella Center for the items that are missing. Then contact the Technical Exhibitor Services shop at Bella Center for assistance. The store can be found on the ground floor of the shop arcade unless otherwise indicated in your technical stand information material.
6. Can I get help for transporting my goods?
Small transport carts can be borrowed inside the gates at the east and west entrances (Indgang Øst and Indgang Vest). If you need help transporting larger items, please contact our logistics partner DSV on tel. +45 32 47 30 17 for price information. Of course, you are also welcome to let your driver deliver/collect goods to/from the stand during the event’s build-up and pack down periods.
7. Where can I find storage space when there is not enough space on the stand?
You can have your goods stored by our logistics partner DSV, who can be contacted on tel. +45 32 47 30 17. Storage will be charged per cubic metre. Due to the risk of fire, you must never leave empty packaging at your stand.
8. Is it possible to find something to eat when working at the stand?
The number of open cafés and restaurants varies from trade fair to trade fair. Information will be provided on the exhibitor portal, which you will be able to access as an exhibitor. It's also possible to order food and have it delivered to your stand before, during and after the trade fair.
9. How can I protect my goods from getting stolen?
You should make sure that your business’s exhibition materials are insured to a certain value. Bella Center cannot be held liable for any items that might disappear from the stand, but our security guards will obviously take the necessary steps if they notice suspicious behaviour.
